Basis of Working
The basis for an assignment will
be agreed with clients prior to work commencing, and will include the scope of
work to be undertaken, anticipated duration in respect of finite assignments,
reporting frequency were this is required by the nature of the work, ancillary
services, nomination of client management or board members to whom to report,
confirmation of confidentiality, fee structure, invoicing arrangements and
frequency.
Fixed term assignments
Where appropriate for services
with pre-determined time scale, such as when standing-in for an absence. Fees
can be agreed on a daily or weekly basis, as appropriate for the requirement.
Time based
Time based work is charged at a
core hourly rate, with half-day rates of four hours and full day of eight hours
at diminishing hourly rates. Should half-day requirements extend beyond the
initial four hours in a day, then the hourly rate as arising for the half-day
rate will be charged until the full eight hours is reached when the hourly rate
for a full day will come into effect. There is no charge for time or travel
costs for the first hour or first 35 miles of travel from York Street, where it
is envisaged that at least four hours work is involved at the end of the
journey.
The time-based structure allows
for ad hoc assistance to be given over the telephone, in small amounts of time,
as needs dictate.
Expenses
In addition to the agreed fees,
sundry expenses may arise from time to time such as telephone calls, facsimile
messages, e-mail messages, web material downloaded, scanning, couriers, postage,
text messages etc with any additional travel to your associated companies,
business contacts, suppliers, etc. Such items are charged at cost for public
transport or with mileage rates at 25p / mile where car travel is involved.
VAT
VAT is charged at the standard
rate, currently 20.0 % in addition to the above fees and costs, unless zero
rating entitlement applies.
Overseas Assignments
Assignments overseas are subject
to a pre-agreed fee structure on a per diem basis, with air fares, accommodation
and out-of-pocket expenses negotiated prior to departure.
Credit Arrangements and References
Credit references may be
required or taken up for clients requiring credit. Until references are secured,
a deposit into our client account may be required. For work expected to continue
over a period of time, a standing order arrangement over the assignment term may
be required to cover the estimated fees, with periodic reviews undertaken which
might lead to adjustments to the standing order arrangements if the assignment
appears likely to be leading to a different estimated fee. There may also be an
adjustment invoice at the end of the standing order cycle.
Invoicing
Invoicing will take place for
each calendar month or 4-week accounting period for regular clients. However for
assignments involving intensive work, invoicing may be fortnightly. For short
assignments involving work for other than these fixed periods, an invoice will
be raised upon completion of the assignment. For credit clients, payment is
requested within seven days of invoice date. The right is reserved to charge
interest at ½% per week for all sums not paid in accordance with agreed terms.
Additionally for accounts more than two weeks overdue, the right is reserved to
automatically suspend the provision of further advice or services until the
account is brought into line with the agreed terms, and a deposit into our
client account may be required if service is to be continued.
